Position Overview
The cashier position plays a crucial role in maintaining the financial integrity and smooth operational flow of the Packstation. The successful candidate will be responsible for accurately processing various forms of payment, ensuring compliance with established financial procedures, and performing regular reconciliations and reporting tasks. This position involves working closely with drivers, the administration team, and Head Office personnel to ensure all cash-related activities are carried out efficiently and transparently.
Key Duties and Responsibilities
The duties of the Cashier at Quantum Foods go beyond simply handling transactions. This role demands accuracy, consistency, and an ability to manage multiple tasks while maintaining detailed records. The responsibilities can be divided into three main categories: Cash and EFT Administration, Reconciliation and Reporting, and General Administration.
1. Cash and EFT Administration
- Processing of Payments: Accurately process and reconcile various types of payments, including cash, EFT (Electronic Funds Transfer), and Flash transactions. This is a critical part of daily operations and requires strict adherence to procedures.
- Invoicing and Reconciliation: Manage cull sale invoicing and reconcile payments against EFT records using the reconciliation schedules submitted to the Head Office. Ensuring accuracy in these tasks prevents discrepancies and supports clear audit trails.
- Cash Automation Balancing: Balance daily cash automation reports against distribution schedules, Head Office documents, and actual bank deposit slips. This function ensures the business maintains financial accuracy and compliance.
2. Reconciliation and Reporting
- Distribution Reconciliations: Perform daily reconciliations of distribution data against actual payments and Delivery Manifest Documents. This step ensures consistency between dispatched goods and financial records.
- Sales Reconciliation: Reconcile Quantum Foods’ daily sales against Proof of Payments (POPs), and compile daily reconciliation schedules for submission to Head Office. This is an important reporting function to maintain operational transparency.
- Bank Deposit Control: Receive, verify, and archive daily bank deposit slips. Maintain organized and accurate record-keeping of all associated documentation, ensuring easy access for audits and reviews.
- Driver Manifest Reconciliation: Conduct detailed reconciliations between driver logs, delivery manifests, and payment records. This ensures that delivery operations align with financial documentation.
3. General Administration
- Petty Cash Management: Maintain and control the petty cash float, including issuing petty cash payments, capturing transactions, and reconciling balances. This function requires strict attention to detail and trustworthiness.
- Procurement Administration: Create and process purchase orders for approved expenditures. Work closely with relevant departments to ensure timely delivery and accuracy of purchases.
- Stationery Management: Manage the ordering and control of office stationery supplies, ensuring that the administrative team has the necessary tools and materials to operate efficiently.
Qualifications and Experience
