As an Invigilator, you will play a critical role in safeguarding the integrity and confidentiality of Vega’s examination processes. You will be responsible for ensuring that the conduct of all assessments is fair, professional, and compliant with internal regulations and national policies.

Key Responsibilities

Your responsibilities will include, but are not limited to, the following:

Exam Venue Preparation

  • Assist the assessment team in setting up the exam venues in accordance with the examination seating plan.
  • Ensure all desks, signage, and necessary materials are arranged before students enter the venue.
  • Verify that the examination room is quiet, clean, and free from unauthorized materials.

Assessment Security

  • Maintain strict control of exam materials before, during, and after the assessment period.
  • Monitor exam conditions vigilantly to detect and prevent any instances of dishonesty or misconduct.
  • Adhere to the IIE Assessment Policy and Strategy regarding document confidentiality and exam environment standards.

Student Support and Supervision

  • Greet and guide students upon entry, ensuring they are seated according to the allocated plan.
  • Verify student identities against the attendance roster and maintain accurate records throughout the session.
  • Address any questions or concerns students may have regarding the examination procedure, within permitted guidelines.

Exam Material Handling

  • Distribute and collect examination papers, scripts, and any supporting materials with precision and accountability.
  • Confirm that all answer sheets are properly filled out, accounted for, and submitted at the end of each session.
  • Collaborate with Assessment Officers to report any anomalies or incidents during the exam session.

Compliance and Reporting

  • Report any irregularities or breaches of exam conduct immediately and in accordance with the institution’s formal reporting procedures.
  • Record attendance, incidents, and other relevant notes in line with institutional requirements.
  • Support post-exam administration processes, including securely transferring completed scripts to the relevant department.

Minimum Requirements

To be considered for the role of Invigilator, candidates must meet the following criteria:

  • Matric Certificate (Grade 12) is essential.
  • Must be available for scheduled examination periods (typically during mid-year and end-of-year assessments).
  • Must be punctual and dependable with a strong commitment to professional integrity.
